Due to a high volume of interest in our accommodations and retreats, please understand the following policy;

For cancellations to Personal Yoga Retreat reservations;

  • 90+ days before arrival notice; Kawoq offers a 90% refund of the cost of your room

  • Between 31 - 90 days before arrival notice; Kawoq offers a 65% refund of the cost of your room

  • Between 30 - 7 days prior to arrival; Kawoq offers a 40% refund of the cost of your room

  • Less than 7 days notice of cancellation, there is no refund

  • There is a 5% rebooking fee if dates are rescheduled

Note: Refunds apply to room cost only. Transaction fees, such as credit card or app payments, are non-refundable.

For reservations made through third parties such as BookYogaRetreats, Tripaneer, TripAdvisor, among others, refunds are not offered directly by Kawoq Forest. If you need a refund, please contact the company or agency where you made the reservation directly. They will handle any requests according to their own policies.

The deadline for check-in is 5:00 PM. If you cannot arrive before this time, we recommend planning your arrival for the next day. Kawoq Forest does not guarantee availability for check-ins after 5:00 PM.

Date Changes

  • Shorten the duration of the stay: If you decide to reduce the days of your visit while on the individual retreat, you will be refunded 50% of the cost of any unused nights; according to the current rate.

  • Change reservation dates: The first change is free. After the second change, a $50 administration fee will apply, regardless of the length of stay.

Cancellation and Change Policy for Reservations for Outdoor and Cultural Activities

Cancellations of Extra Activities:

  • If you decide not to participate in a scheduled activity, it is necessary to inform at least 48 hours in advance to avoid charges. If the cancellation notice is given less than 48 hours, the total cost of the activity will be charged in full.

  • Activities are planned for all participants enjoyment, so it is essential to be punctual. We do not have a waiting margin. If you do not arrive on time, the full amount of the activity will be charged, even if the service cannot be provided.

This policy ensures the correct planning of activities and respect for the resources allocated to each experience.

Cancellation and Change Policy for Scheduled Private Transportation

  • If you decide to cancel the scheduled private transportation service, it is necessary to inform at least 48 hours in advance to avoid charges. If the cancellation notice is given less than 48 hours, the total cost of the service will be charged in full.

  • In case of delays due to verifiable reasons, our transport service may wait for you for up to a maximum of 30 minutes. After this time, 100% of the cost of the service must be paid, even if it is not possible to provide it.

This policy ensures efficient logistics and the appropriate use of resources intended to coordinate private transportation.

Cancellation and Change Policy for Transportation Porter Service

If you decide to cancel the scheduled private transportation service, it is necessary to inform at least 24 hours in advance to avoid charges. If the cancellation notice is given less than 24 hours, the total cost of the service will be charged in full.

Note: Take into account that if you arrive late at the agreed time, after 30 minutes the porter will leave and you will have to pay 50% even if the service is not provided.

This policy ensures efficient logistics and the appropriate use of resources intended to coordinate the porter service.

Retreat Group Bookings

  • All initial deposits are non-refundable. Your deposit can be transferred to a later date (within 18 months after the date of the retreat) if cancellation is more than >60 days of your retreat start date. Dates can only be moved once and beyond that, there will be a 10% transfer fee.

  • A retreat booking may be canceled precisely at the 60 day mark without any penalties other than the initial deposit will be forfeited.

  • Retreat bookings canceled between 60 and 31 days notice will forfeit the original venue hire deposit. Further payments made will be credited for future group retreat use (to be used within 18 months). Not available for personal use.

  • For cancellation within 30 days of retreat start date, all payments will be forfeit and no longer credited to future use.

For all bookings, we do not offer refunds or take responsibility for political and environmental causes (natural disasters etc.) that could affect your stay or travel to Kawoq Forest.

Group Retreat - Extra Activities: For extra activities, if any participants decide not to join the activity, we need 48 hours notice prior to the activity otherwise, they will be charged in full. 

Cancellation Policies and Conditions for Wellness Services

If you cancel your wellness service (massage, yoga class, ceremony or therapy) with less than 6 hours notice, you will be charged 50% of the value of the service.

If you cancel less than 2 hours in advance, you will be charged 100% of the value of the service. No exceptions.

Tardiness

If you arrive late for your appointment, only the remaining session time will be provided, and 100% of the value of the reserved service will be charged.

No Show

If you forget your appointment and do not attend, there will be no rescheduling and 100% of the service will be charged.

Satisfaction

If the service does not meet your expectations, a charge of 50% of the value of the service will be applied.
